How to establish synced spaces

To sync spaces, the space administrators have to configure Space Sync for Confluence.

Establish sync between Confluence spaces

Space administrators can use the Establish sync workflow to create a connection and exchange a synchronization token between Confluence spaces. The spaces may be on the same Cloud site or on separate Cloud sites.

Before you start: Install Space Sync for Confluence on every Cloud site you want to connect, and make sure an administrator can configure each space. Treat sync tokens as secret files: each token expires after 7 days or after its first use. Sharing a token does not establish the connection until the receiving administrator imports it.

Step 1: Open Establish sync

  1. Open the Confluence space where you want to create the sync.

  2. Go to Space settings → Integrations → Synced spaces list.

  3. Select Establish sync and choose Create a new sync.

Step 2: Create the sync configuration

  1. Enter a descriptive Sync name (for example, the destination space name).

  2. If necessary, choose Permitted groups/users to control who may execute sync. Leave it blank to allow users who already have view access to execute sync.

  3. Review Sync comments, Sync labels, and Auto-sync according to your needs. Auto-sync is on by default in the new setup form; turn it off if you do not want eligible updates to sync automatically after the connection is established.

  4. If Sync page restrictions is available for your connection, review that setting as well. It is not available for Data Center connections.

  5. Select Create sync.

After creation, SSC displays Your sync is ready to connect. The other administrator still needs to import your token.

Step 3: Share the synchronization token

From Your sync is ready to connect, choose how to share the token with the administrator of the other space:

  • Send token: Enter the recipient email address, review the subject and message, and select Send token. Ask the recipient to check their inbox and spam folder.

  • Download token: Select Download token, save the file using your browser, and share it securely with the receiving administrator.

  • Share later: Close the dialog and return to the sync entry in the Synced spaces list. Use its Actions menu to send or download the token when ready. You do not need to create a second sync configuration.

Keep your token private. Share it only with the intended space administrator. A sent or downloaded token does not mean the spaces are connected; the token must be imported before the connection can be established.

Step 4: Import the token in the receiving space

  1. In the receiving Confluence space, open Space settings → Integrations → Synced spaces list.

  2. Select Establish sync → Import a token.

  3. Drag the token file into the upload area or select Choose file.

  4. Review the source and receiving space information, enter or confirm the Sync name, and review the synchronization settings.

  5. Select Import and review the result.

If the token is invalid or has expired, ask the administrator who created the sync for a fresh token. Do not send the token to anyone else.

Step 5: Confirm the connection or request approval

After importing, the result depends on the connection and external approval settings:

The sync connection has been established.

Start a manual or bulk sync, or rely on eligible Auto-sync updates if configured.

Approval Required

The token was imported, but the source space must approve the external connection.

In the Synced spaces list, open the connection’s Actions menu and select Request sync. Follow the approval request flow.

Connection not yet confirmed

The import completed, but SSC has not confirmed the connection as usable.

Review the connection status in the Synced spaces list before syncing content.

Configure and use the connection

Use the Actions menu on the existing connection to manage its settings, including permitted users/groups, comments, labels, and Auto-sync options as available. Creating a connection does not synchronize every existing page automatically.
